Job Summary
- A Data Entry Officer is responsible for accurately inputting, updating, and maintaining organizational data in digital databases and spreadsheets.
- They ensure data integrity, verify information against source documents, and maintain strict confidentiality, serving a vital role in keeping business operations running smoothly.
Key Responsibilities
- Data Input: Transfer text and numerical data from physical documents, forms, or digital sources into company databases.
- Data Verification: Cross-reference entered data against source documents to spot errors, correct discrepancies, and ensure information completeness.
- Information Management: Organize, sort, and store paperwork and digital files logically for easy retrieval and future use.
- Report Generation: Compile and generate basic data reports, spreadsheets, and summaries for management and team use.
- Data Security & Privacy: Adhere to corporate privacy policies, handle sensitive client information securely, and perform routine data backups.
- Administrative Support: Assist other departments with scanning, filing, photocopying, and general office duties.
Qualifications & Skills
- Typing Proficiency: High typing speed (often measured in words per minute) with exceptional touch-typing accuracy.
- Software Skills: Strong working knowledge of word processing tools and spreadsheets (e.g., Microsoft Word, Excel, Google Docs) and database systems.
- Attention to Detail: Ability to meticulously review massive sets of figures and texts without mistakes.
- Time Management: Capability to prioritize heavy workloads to meet strict processing deadlines.
- Communication: Excellent written and verbal communication to report data anomalies to supervisors.
