Finance Associate

Purpose of the Job

  • The Finance Associate is expected to support the Finance Unit. Hierarchically, the Finance Associate is to report to the Cluster Account Officer. 

Duties and responsibilities

  • Support the collection and printing of Staff Travel Authorizations (TAs) and Requests for Advance (RFAs).
  • Assist in collecting and printing advance requests from non-KNCV staff.
  • Assist in reviewing Staff Travel Authorizations (TAs) and Requests for Advance (RFAs).
  • Support the review of advance requests submitted by non-KNCV staff.
  • Assist in raising Payment Vouchers to third parties
  • Assist in reviewing staff declarations and other retirement/supporting documents.
  • Assist in raising payment vouchers for third parties.
  • Support in the capturing of expenses into the financial system.
  • Stamp paid vouchers and other financial documents as required.
  • Ensure proper filing of paid vouchers.
  • Assist in ensuring that all declarations and Payment Vouchers have correct Project Code, the right item code, and right Expense GL
  • Follow up with staff and non-staff regarding incomplete retirements and unretired advances.
  • Support in processing and reviewing procurement documents.
  • Ensure all receipts are correctly attached to their corresponding vouchers.
  • Verify that no vouchers are missing from the Arch file.
  • Assist in populating payments and verifying account details.
  • Review payment requests to ensure alignment with approved budgets and SIP.
  • Perform other finance-related duties as assigned by the supervisor.

Requirements

  • Bachelor’s degree in accounting, finance, and business administration or a relevant field.
  • At least 1-2 years’ relevant work experience.
  • Proficiency in the use of computer applications (Microsoft Office etc.)
  • Excellent written and verbal English language skills.
  • Must be a self-starter with the ability to work in a dynamic, solid, and open team.
  • Must be flexible with absolute integrity, organizational awareness, and understanding of cultural differences.
  • Have a high sense of integrity and transparency.
  • Ability to manage official information in a confidential manner
  • Ability to use multi-task and work well under pressure to meet deadlines
