Vendor Specialist
Role Summary
- The Vendor Specialist supports the management of the company’s supplier and service provider ecosystem across the logistics value chain. The role focuses on vendor sourcing support, onboarding coordination, performance tracking, documentation management, and ensuring operational readiness of logistics partners such as transporters, carriers, customs agents, and warehousing providers.
- The Vendor Specialist works closely with the Vendor Manager and cross-functional teams to ensure reliable, cost-effective, and high-quality service delivery across all vendor touchpoints.
Key Responsibilities
Vendor Sourcing & Onboarding Support
- Assist in identifying and evaluating potential vendors across logistics service categories (trucking, shipping, clearing, warehousing, etc.)
- Support due diligence processes including documentation verification and compliance checks
- Coordinate vendor onboarding activities and ensure complete vendor records are maintained
- Maintain and update vendor database and profiles in internal systems
Vendor Relationship Management
- Act as the first point of contact for assigned vendors
- Support communication between vendors and internal operations teams
- Ensure vendors understand operational requirements, SLAs, and company standards
- Follow up on vendor responsiveness and engagement levels
Vendor Performance Tracking
- Monitor vendor KPIs such as delivery timelines, service quality, cost efficiency, and compliance adherence
- Compile performance data and support periodic vendor review meetings
- Escalate vendor performance issues to the Vendor Manager
- Track corrective actions and follow-through on improvement plans
Operational Coordination
- Support daily logistics execution by ensuring vendor availability and readiness
- Assist Operations teams in resolving vendor-related service issues
- Coordinate with vendors during shipment execution and service delivery
- Ensure smooth flow of communication between vendors and internal stakeholders
Documentation & Compliance
- Ensure all vendor agreements, licenses, and compliance documents are properly filed and up to date
- Support internal audits and vendor compliance checks
- Maintain records in line with company policies and regulatory requirements
Reporting & Insights
- Prepare weekly and monthly vendor performance reports
- Track vendor trends and highlight potential risks or inefficiencies
- Support data collection for cost analysis and vendor benchmarking
- Provide insights to improve vendor selection and service quality

Qualifications & Experience
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field
- 2–4 years of experience in logistics, procurement, vendor coordination, or supply chain operations
- Experience in freight forwarding, shipping, or logistics industry is highly preferred
- Strong understanding of vendor management processes and logistics operations
- Proficiency in Microsoft Excel and data reporting tools
