Reconciliation Officer

ROLE SUMMARY

The Reconciliation Officer is responsible for reconciling purchase orders, invoices, delivery records, credit notes, and payments received from supermarkets, distributors, and other trade partners. The role ensures that all transactions are accurately recorded, discrepancies are promptly resolved, and outstanding payments are tracked and escalated to support healthy cash flow and accurate financial reporting.

KEY RESPONSIBILITIES

  • Reconcile supermarket and distributor purchase orders (POs) with invoices, delivery notes, and payment records.
  • Verify that all deliveries made to customers are properly invoiced and accounted for.
  • Match payments received against outstanding invoices and customer accounts.
  • Investigate and resolve discrepancies relating to POs, invoices, deliveries, deductions, returns, and payments.
  • Monitor outstanding invoices and follow up on overdue payments from supermarkets, distributors, and trade customers.
  • Prepare and share statements of account with customers when required.
  • Maintain accurate reconciliation schedules and supporting documentation.
  • Escalate unresolved payment disputes and long-outstanding debts to management.
  • Prepare weekly and monthly reconciliation and receivables reports.

REQUIREMENTS

  • B.Sc. in Accounting, Banking & Finance, or Business Administration.
  • Candidate should not be more than 29 years old. 
  • Must have completed NYSC.
  • 1–2 years experience in reconciliation, accounts receivable, finance, accounting, or a related role.
  • Strong understanding of purchase orders, invoices, statements of account, and payment reconciliation.
  • Proficiency in Microsoft Excel and Google Sheets.
  • Strong analytical, numerical, and problem-solving skills.
  • High attention to detail and accuracy.
  • Excellent record-keeping and reporting abilities.
  • Strong communication and follow-up skills.
  • Ability to manage multiple accounts and meet reporting deadlines.
