Job Description
- The Procurement Officer (IT) is responsible for independently handling end-to-end procurement activities for IT hardware, software, cloud services, and IT-related solutions. The role ensures cost-effective sourcing, strong vendor management, compliance with procurement policies, and timely delivery of IT resources to support business operations.
Key Responsibilities
- Manage procurement of IT equipment such as laptops, desktops, servers, networking devices, and accessories.
- Procure software licenses, SaaS products, cloud subscriptions, and IT security tools.
- Source, evaluate, and recommend reliable IT vendors and service providers.
End-to-End Purchase Management
- Handle full procurement cycle: requisition, quotation, evaluation, purchase order, delivery, and documentation.
- Review and analyze quotations for cost, quality, and compliance.
- Ensure timely processing and closure of purchase requests.
Vendor Management
- Manage relationships with IT vendors and service providers.
- Negotiate pricing, delivery timelines, payment terms, and SLAs.
- Monitor vendor performance and ensure adherence to agreements.
- Resolve procurement-related disputes and escalate complex issues when necessary.
Contract & Compliance Management
- Support drafting and review of procurement contracts and SLAs.
- Ensure procurement activities comply with company policies and audit standards.
- Maintain proper procurement documentation for internal and external audits.
Budget & Cost Control
- Support IT procurement budgeting and cost planning.
- Identify cost-saving opportunities without compromising quality.
- Ensure purchases align with approved departmental budgets.
Inventory & Asset Coordination
- Work closely with IT department to track IT assets and lifecycle management.
- Ensure proper tagging, recording, and updating of IT equipment inventory.
- Monitor stock levels and initiate replenishment processes.
Reporting & Analysis
- Prepare weekly and monthly procurement reports (spend analysis, vendor performance, order tracking).
- Provide procurement insights to support decision-making and cost optimization.
Required QualificationsEducation
- Bachelor’s Degree in Supply Chain Management, Procurement & Logistics, Business Administration, Accounting or Finance, and Information Technology (added advantage)
Experience Requirements
- 3–5 years proven experience in procurement or supply chain management
- At least 2+ years specifically in IT procurement or technology purchasing
- Experience managing vendors, SLAs, and contract negotiations
- Experience using ERP systems and procurement software
- Strong track record of handling multiple procurement requests independently
