Key Responsibilities Include.
- Coordinate the timely receipt, storage, and dispatch of goods, materials, and equipment to support programme and operational needs.
- Maintain accurate stock records, inventory systems, and documentation for all logistics transactions.
- Track and manage the distribution of goods to field locations, ensuring appropriate documentation and reporting
- Ensure appropriate tagging, tracking, and disposal of assets according to policy.
- Prepare and submit regular logistics and fleet reports, including fuel consumption, maintenance, stock levels, and vehicle utilisation.
- Maintain organised, audit-ready records for all logistics and fleet transactions.
- Contribute to budgeting and forecasting for fleet, transport, and logistics operations.
- Provide daily operational support to staff on logistics and fleet procedures.
- Coordinate the organisation’s fleet, including vehicles and generators, ensuring they are properly assigned, utilised, and maintained.
- Develop and maintain fleet schedules, including route planning, trip authorisation, and vehicle allocation.
- Monitor fuel usage, vehicle logs, mileage records, and consumption reports to ensure efficiency and detect anomalies.
- Coordinate regular servicing, repair, licensing, and insurance of all vehicles and generators.
- Ensure all drivers adhere to safety standards, defensive driving practices, and organisational policies.
- Arrange and coordinate staff travel and transportation of goods across operational areas.
- Monitor the movement of vehicles and staff to ensure safety and compliance with travel protocols.
- Implement tracking systems for fleet monitoring and timely response to incidents or breakdowns.
- Ensure all travel and movement requests are processed efficiently and documented properly.
- Manage documentation, including vehicle insurance, registration, and inspection records.
- Conduct regular safety briefings, driver assessments, and fleet inspections.
About You
- The ideal candidate will demonstrate a strong experience coordinating and managing logistics, fleet operations, warehousing, and distribution, with a strong ability to plan, track, and optimise deliveries for maximum efficiency.
- The candidate will bring proven expertise in fleet coordination, including vehicle maintenance, scheduling, and fuel management, alongside hands-on experience with vehicle tracking systems, inventory tools, and effective vendor coordination.
- Understanding of donor compliance and supply procedures is required, with an INGO experience considered an advantage and excellent planning and organisational skills are key to success in this role.

Key Responsibilities Include.
- Responsible for providing program and operations teams with general grants management support, advising on donor compliance and GAIN regulations, and ensuring grant deliverables are achieved on time.
- Liaise with the finance department to monitor GAIN Nigeria and partner budgets and spends.
- Develop and maintain processes and procedures for robust grant management.
- Ensure internal grants and general compliance tracking systems and associated processes meet GAIN and donor standards.
- Interpret donor regulations to the GAIN Nigeria program team, local partners and CBOs/subgrantees.
- Provide ongoing technical advisory support to improve compliance practices across departments.
- Lead the development and maintenance of reporting templates according to donor requirements and preparation of grant reporting schedule management.
- Engage and manage donor relationships, including supporting donor visibility and representation.
- Oversee operational risk monitoring and management including risk mapping, defining and implementing action plans, risk management, incident management systems ensuring corrective and preventive actions.
- Manage the subaward relationships between GAIN Nigeria and its subrecipients.
- Interpret all subawards to ensure compliance with donor policies within legal and statutory requirements and prepare monthly summary reports.
- Implement the organization’s subaward management system for selection, approvals, awarding, monitoring and closing program subawards, including designing and providing templates for expressions of interest, request for applications, and selection evaluation tools.

The candidate will bring strong grant management expertise, with the ability to identify risks, anticipate challenges, and develop practical, forward-thinking solutions. Experience managing the Subaward relationships between an organisation and its subrecipients is required combined with ability to build their capacity for effective grant management.
