Executive Assistant
Job Overview
- The Executive Assistant will provide high-level administrative, operational, and strategic support to a C-Suite Executive within a fast-paced financial services organization.
- The role requires exceptional organizational ability, discretion, executive presence, and the capacity to manage complex schedules, confidential information, and high-level stakeholder engagements.
- The successful candidate will serve as a trusted partner to the Executive, ensuring seamless coordination of business activities, travel logistics, executive communications, and priority initiatives across domestic and international engagements.
Key Responsibilities
Executive & Administrative Support:
- Manage and coordinate the Executive’s daily schedule, calendar, meetings, and strategic priorities.
- Serve as the primary point of contact between the Executive and internal/external stakeholders.
- Prepare executive correspondence, reports, presentations, and briefing materials.
- Screen calls, emails, and meeting requests while ensuring efficient time management for the Executive.
- Track deliverables, follow-ups, and action items arising from executive meetings and engagements.
Travel & Logistics Management:
- Coordinate complexdomestic and international travel arrangements, including flights, visas, accommodation, transportation, and itineraries.
- Prepare detailed travel briefs, meeting schedules, and background documentation ahead of trips.
- Manage travel expenses, reimbursements, and documentation in line with company policies.
- Provide travel support during high-level business engagements, conferences, and investor meetings where required.
Stakeholder & Communication Management:
- Liaise with board members, investors, regulators, clients, and senior management on behalf of the Executive.
- Coordinate executive participation in meetings, conferences, and corporate events.
- Draft professional communications, speeches, and executive summaries when required.
- Maintain strict confidentiality regarding sensitive business information and strategic matters.
Meeting & Project Coordination:
- Organize executive meetings, board sessions, and leadership engagements.
- Prepare agendas, compile documentation, and record key decisions and action points.
- Monitor execution of strategic initiatives and ensure timely follow-through across departments.
- Support cross-functional coordination between finance, operations, advisory, and corporate teams.
Office & Operational Support:
- Maintain organized filing systems for executive documents and records.
- Support special projects, research assignments, and corporate initiatives led by the Executive.
- Anticipate executive needs and proactively resolve administrative or operational challenges.
- Ensure smooth day-to-day running of the Executive Office.
Qualifications & Experience
- Bachelor’s Degree in Business Administration, Management, Finance, or related discipline.
- Minimum of 5 years’ experience supporting C-Level Executives, preferably within financial services, investment firms, or corporate organizations.
- Demonstrated experience managinginternational and domestic travel logistics.
- Strong understanding of corporate governance, executive office operations, and professional communication standards.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience handling confidential information with discretion and professionalism.

Working Conditions:
- Office-based role located in Victoria Island, Lagos.
- Requires frequent domestic and international travel alongside or in support of the Executive.
