Job Description
- We are seeking a highly motivated and organised Executive Assistant to the CEO who will play a pivotal role in supporting the CEO and contributing to the overall success of our organisation.
- The Executive Assistant will be a key support to the CEO, actively involved in strategic business initiatives, and will ensure the seamless operation of the CEO’s office in their absence or through delegation.
Responsibilities
Executive Support:
- Act as the primary point of contact for the CEO, managing their calendar, appointments, and communications.
- Prepare and edit correspondence, reports, and presentations on behalf of the CEO.
- Arrange and coordinate travel itineraries, meetings, and events.
- Handle sales, marketing and client communication on behalf of the CEO and Company.
- Handle sensitive and confidential information with the utmost discretion.
Property Management Support:
- Assist in overseeing property management tasks, including client communications, lease agreements, and property inspections.
- Collaborate with property managers or house masters to ensure the smooth operation of the apartments, including booking coordination and guest communications.
- Monitor property maintenance and repair requests, ensuring prompt resolution.
Administrative Support:
- Manage administrative tasks, including filing and record-keeping.
- Maintain and update contact lists, databases, and organisational systems.
- Handle calls and inquiries and/or direct them to the appropriate parties.
Business Development Initiatives:
- Collaborate with the CEO to develop and execute strategic business development plans.
- Conduct research and analysis to identify growth opportunities, market trends, and potential partnerships within the industry.
- Assist in the preparation of proposals, contracts, and presentations for property management ventures.
- Provide input and insights to the CEO on strategic decision-making.
- Continuously seek opportunities to streamline processes and improve efficiency within the organisation.
Delegation and Decision-Making:
- Act as a liaison between the CEO and other employees within the company, ensuring timely follow-up on tasks and projects.
- Handle routine matters in the CEO’s absence and make decisions on their behalf when necessary.
- Prioritise and manage multiple projects simultaneously, following through to completion.
Meeting Coordination:
- Coordinate and organise meetings.
- Prepare agendas, take meeting minutes, and track action items.
- Ensure the CEO is well-prepared for meetings with all necessary materials and information.
Requirements
- Bachelor’s Degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an Executive Assistant or in a similar role
- Prior exposure to property management activities is an added advantage
- Exceptional organisational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and handle multiple tasks with precision.
- Discretion and confidentiality in handling sensitive information.
- Strategic thinking and a proactive approach to problem-solving.
- Excellent interpersonal skills.
Salary
N80,000 – N100,000 / month.
