Admin /Operations Lead
We are seeking a resourceful and highly organized Administrative and Finance Operations Lead to ensure smooth office operations, manage vendor relationships, and coordinate international business trips for the Business Leads. This role requires a proactive individual with an understanding of ERP systems, excellent planning and communication skills, and familiarity with key locations on the Island.
Key Responsibilities:
- Oversee day-to-day office operations to maintain an efficient, well-organized work environment.
- Manage relationships and communications with vendors, ensuring timely delivery and quality service.
- Plan and coordinate international business trips for the CEO and executive team, including travel arrangements, accommodations, itinerary planning, and expense management.
- Utilize ERP systems to support finance and administrative processes, including invoice tracking, purchase orders, and record keeping.
- Assist with finance operations as needed, including budget tracking and vendor payments coordination.
- Act as a liaison between departments to facilitate smooth operational workflows.
- Maintain accurate records of office assets, supplies, and expenditures.
- Provide administrative support to senior management and other teams as required.
- Proactively identify operational challenges and suggest improvements to optimize office efficiency.
- Stay informed about key locations, service providers, and logistical considerations on the Island to support event planning and travel logistics.
Qualifications:
- Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
- Minimum of 3 years’ experience in office administration, finance operations, or related roles.
- Great knowledge and hands-on experience with ERP systems.
- Excellent organizational, multitasking, and time management skills.
- Resourceful with the ability to proactively solve problems and adapt to changing priorities.
- Exceptional communication and interpersonal skills.
- Familiarity with the Island’s geography, venues, and service providers is a significant advantage.
- Ability to handle confidential information with discretion.
- Proficient in Microsoft Office Suite and other relevant software tools.
