Account Officer/Cashier

Reports To: Finance Officer / Head of Finance

Location: Damaturu (with possible field assignments across Yobe State)

JOB PURPOSE

The Cashier is responsible for managing all cash-related transactions of YMDCL in a transparent, accountable, and efficient manner. The role ensures proper handling, documentation, and reporting of cash inflows and outflows in support of mining operations, field activities, procurement processes, and stakeholder engagements.

KEY RESPONSIBILITIES

Cash Management

  • Receive, verify, and issue receipts for all cash inflows including:
  • Mineral sales (e.g., gypsum, gold, other aggregates)
  • Registration fees (miners, vendors, stakeholders)
  • Miscellaneous income
  • Disburse cash for approved expenses in line with company policies
  • Maintain daily cash balances and ensure proper safekeeping of funds

Transaction Processing

  • Process petty cash payments for:
  • Field operations (exploration, community engagement, ASM activities)
  • Logistics (fuel, transport, minor repairs)
  • Office administrative expenses
  • Ensure all payments are supported with:
  • Approved payment vouchers
  • Receipts and relevant documentation

Record Keeping & Documentation

  • Maintain accurate and up-to-date:
  • Cashbook (manual and/or digital)
  • Petty cash register
  • Daily transaction logs
  • File and organize all financial documents systematically for audit purposes

Reconciliation & Reporting

  • Perform daily cash reconciliation and report discrepancies immediately
  • Prepare periodic reports including:
  • Daily cash position report
  • Weekly petty cash summary
  • Monthly cash utilization reports
  • Support Finance Department during audits and financial reviews

Compliance & Internal Control

  • Ensure strict adherence to YMDCL financial policies and procedures
  • Maintain confidentiality and integrity of financial transactions
  • Ensure all transactions comply with approval thresholds (e.g., petty cash limits, MD approval limits, etc.)
  • Prevent fraud by enforcing proper documentation and authorization

Field Operations Support

  • Participate in field assignments when required, including:
  • Mining sites (e.g., Gulani, Fune, Fika)
  • Aggregation centers
  • Handle on-site cash transactions for:
  • Artisanal miners payments
  • Vendor transactions
  • Community engagement activities

Coordination

Liaise with:

  • Procurement Unit (for payments and RFQ processes)
  • Operations Team (for field disbursements)
  • Community engagement teams (for stakeholder payments)
  • Support smooth financial flow across departments

QUALIFICATIONS & EXPERIENCE

Educational Qualification

  • Minimum of ND/HND/B.Sc. in Accounting, Finance, Business Administration, or related field

Experience

  • Minimum of 2–4 years’ experience in cash handling or similar financial role
  • Experience in field-based operations or project environments is an added advantage

  • High level of integrity and honesty
  • Attention to detail and accuracy
  • Basic knowledge of accounting software and Microsoft Excel
  • Ability to work under pressure and in remote field conditions
  • Good organizational and record-keeping skills
  • Strong interpersonal and communication skills

  • Accuracy of cash records and reconciliation
  • Timeliness of reporting
  • Compliance with financial procedures
  • Zero or minimal discrepancies in cash handling
  • Efficiency in supporting field operations

 WORKING CONDITIONS

  • Office-based in Damaturu with frequent travel to mining sites
  • Exposure to field environments including remote and operational mining areas
  • May require handling of large volumes of cash under controlled procedures

  • Reports directly to: Finance Officer / Head of Finance

  • Procurement Officers
  • Operations Team

  • Willingness to work extended hours when required
  • Readiness for rapid deployment to field locations
